Pricing-Related Settings Overview

Before your pricing models work correctly in Docket, a handful of settings need to match what you've set up in your billing templates and/or pricing matrix. 

Each setting area below includes where to find it and what to configure. Getting them right upfront prevents pricing mismatches when your team creates tasks and generates invoices.

Before You Start

Here are a few things to know before you continue:

  • We recommend that only the Account Owner(s) or main Office Admin(s) set up or change the settings covered in this article.
  • We recommend configuring the below settings first before creating billing templates or uploading a pricing matrix.
  • Your billing templates and/or pricing matrix MUST use the exact same values that the below settings use. For example, if your matrix includes specific material names or client types, those exact labels must exist in your Docket settings too.

Set Up Dumpster Sizes and Their Weight Allowances, Overages, and Waste Materials

Docket needs to know which dumpster sizes your business uses before those sizes can appear in your billing templates or be matched against your pricing matrix. 

TIP: Any size that appears in your pricing model must also be active in your account settings.

You also need to set up the weight allowance, overage costs, and allowed waste materials for each dumpster size so Docket can calculate the correct pricing for each task your team creates.

To set up your dumpster sizes and their related information, just follow the instructions below:

  1. Click on “Account” in the bottom left corner.
  2. Click on “Settings” at the top.
  3. Click on “View” on the Dumpster Management card.

  4. Click to expand the Dumpster Settings by Size section.

  5. The dumpster size(s) that you've added as Assets to your Docket account will automatically appear in the Dumpster Settings by Size list.

    Review this list and confirm that all of your offered dumpster sizes are listed. If any are missing, you'll want to add them to your Assets list so they appear here too.

    Please Note: If a dumpster size exists in your pricing matrix but isn't listed here, Docket won't be able to match pricing for tasks using that dumpster size.



    TIP: You can override the Dumpster Settings by Size list by adding your offered dumpster sizes to the Dumpster Sizes field above it. This is helpful if you're phasing out a particular size and need to track existing tasks with that size, but don't want your team to be able to select it when creating new tasks.
  6.  Click "Edit" to set up a dumpster size's related information.

  7. Enter the weight allowance for this size in tons, the cost per ton overage fee, and the cost per day overage fee as necessary to match your billing preferences.

    Please Note: If you're using a pricing matrix, you don't need to configure these fields. Instead, you'll set up the weight allowance and overage fees directly in your spreadsheet.
  8. Select the materials you allow to be put in this dumpster size. 

    Please Note: If you're using a pricing matrix, whatever you select here MUST match what's in your spreadsheet.
  9. Click "Save" to implement your changes.

Now Docket can correctly calculate overages and material-based costs (if you're using a pricing matrix).

Set Up Rental Lengths

Docket needs to know what rental lengths your business uses before those options can appear in your billing templates or be matched against your pricing matrix. 

TIP: Any rental length that appears in your pricing model must also be active in your account settings.

To set up your rental lengths, just follow the instructions below:

  1. Click on “Account” in the bottom left corner.
  2. Click on “Settings” at the top.
  3. Click on “View” on the Dumpster Management card.


     
  4. Click to expand the Scheduling Options section.

  5. Scroll down to the Rental Length setting and toggle it on (blue), if needed.
  6. Select the rental lengths your business offers.
  7. Set a default rental length, if needed.
  8. Set a default rental length for any particular client type, if it's different than your normal default.
  9. Toggle on "Drop-off Day Counts as Day 1," if your pricing model includes the delivery day in the rental period.

All of your changes auto-save, so once you're done configuring this section, Docket will be ready to calculate rental lengths and overages.

Please Note: If you're using a pricing matrix, whatever you select here MUST match what's in your spreadsheet.

Set Up Delivery Fees

Docket lets you display delivery fees as separate line items on invoices. How you configure them depends on which pricing model you use.

TIP: If you bundle your delivery fee into the total rental amount without displaying it as its own line item on invoices, leave this setting off (and leave the Delivery Fee column blank in your pricing matrix if you're using one).

Set Up Delivery Fees for a Pricing Matrix

If you're using a pricing matrix, you'll actually set up your delivery fees directly in your spreadsheet before uploading it. 

You'll also need to turn on the delivery fees setting in your account before Docket can begin applying the fees listed in your pricing matrix.

To turn on the delivery fees setting, just follow the below instructions: 

  1. Click on “Account” in the bottom left corner.
  2. Click on “Settings” at the top.
  3. Click on “View” on the Dumpster Management card.

  4. Click to expand the Billing section.

  5. Turn on (blue) the Show Delivery Fee setting.
  6. Decide whether you want to have the delivery fee applied by default.
  7. Adjust the delivery fee name to match your billing preferences, if needed.
  8. Decide whether you want the delivery fee to be taxed. 
  9. Decide whether you want delivery fees applied to additional task types.

All of your changes auto-save, so once you're done configuring this section, Docket will be ready to calculate delivery fees.

Please Note: After configuring this section, you'll still need to add your actual delivery fees to your pricing matrix if you haven't already. You DON'T need to fill in the Default Delivery Fee Amount field shown in the above screenshot.

Set Up Delivery Fees for Billing Templates

If you're using billing templates, just follow the instructions below:

  1. Click on “Account” in the bottom left corner.
  2. Click on “Settings” at the top.
  3. Click on “View” on the Dumpster Management card.

  4. Click to expand the Billing section.

  5. Turn on (blue) the Show Delivery Fee setting.
  6. Decide whether you want to have the delivery fee applied by default.
  7. Enter the amount you charge as a delivery fee. Your team can always change the amount when creating a task.
  8. Adjust the delivery fee name to match your billing preferences, if needed.
  9. Decide whether you want the delivery fee to be taxed.
  10. Decide whether you want delivery fees applied to additional task types.

All of your changes auto-save, so once you're done configuring this section, Docket will be ready to calculate delivery fees.

Set Up Fuel Surcharges

Docket lets you display fuel surcharges as separate line items on invoices. How you configure them depends on which pricing model you use.

TIP: If you bundle your fuel surcharge into the total rental amount without displaying it as its own line item on invoices, leave this setting off (and leave the Fuel Surcharge column blank in your pricing matrix if you're using one).

Set Up Fuel Surcharges for a Pricing Matrix

If you're using a pricing matrix, you'll actually set up your fuel surcharges directly in your spreadsheet before uploading it. 

There are 3 options for setting up fuel surcharges with a pricing matrix:

  1. A flat fee that goes in your pricing matrix spreadsheet.
  2. A percentage amount of the total rental cost that goes in your pricing matrix spreadsheet.
  3. A distance-based fee that's added to your Dumpster Management settings.

If you use option 1 or 2, you just need to turn on the fuel surcharges setting in your account before Docket can begin applying the fees listed in your pricing matrix.

If you use option 3, you'll need to leave the Fuel Surcharges column in your pricing matrix blank and set up the surcharge in your Docket account instead. If you don't leave the column blank in your spreadsheet, the pricing matrix will override whatever you set up in your account settings.

To turn on the fuel surcharges setting (and set up a distance-based surcharge), just follow the below instructions: 

  1. Click on “Account” in the bottom left corner.
  2. Click on “Settings” at the top.
  3. Click on “View” on the Dumpster Management card.

  4. Click to expand the Billing section.

  5. Turn on (blue) the Show Fuel Surcharges setting.
  6. Decide whether you want to have the delivery fee applied by default.
  7. If you're NOT using distance-based fuel surcharges, skip to Step 11. 

    If you're using distance-based fuel surcharges, make sure that 'Distance' is selected (highlighted dark blue).

  8. Enter the mile mark where your surcharge starts applying.  
  9. Enter the amount per mile your business charges.
  10. By default, the starting address will be your company address in your account's profile, but you can change this to a different address, if needed.

  11. Adjust the fuel surcharge name to match your billing preferences, if needed.
  12. Decide whether you want the fuel surcharge to be taxed.
  13. Decide whether you want fuel surcharge applied to additional task types.

All of your changes auto-save, so once you're done configuring this section, Docket will be ready to calculate fuel surcharges.

Please Note: If you're not using distance-based fuel surcharges, you'll still need to add your actual fuel surcharges to your pricing matrix if you haven't already. You DON'T need to fill in the Starting Distance field or the Default Fuel Surcharge Amount Per Mile field shown in the above screenshot.

Set Up Fuel Surcharges for Billing Templates

There are 2 options for setting up fuel surcharges with billing templates:

  1. A fixed dollar amount.
  2. A distance-based fee.

Regardless of which option you decide to use, just follow the instructions below:

  1. Click on “Account” in the bottom left corner.
  2. Click on “Settings” at the top.
  3. Click on “View” on the Dumpster Management card.

  4. Click to expand the Billing section.

  5. Turn on (blue) the Show Fuel Surcharges setting.
  6. Decide whether you want to have the delivery fee applied by default.
  7. If you're using a fixed dollar amount, make sure that 'Fixed' is selected (highlighted dark blue).

    Then, enter your dollar amount into the Default Fuel Surcharge Amount field below it. Skip to Step 11 afterwards.



    If you're using distance-based fuel surcharges, make sure that 'Distance' is selected (highlighted dark blue).

  8. Enter the mile mark where your surcharge starts applying.  
  9. Enter the amount per mile your business charges.
  10. By default, the starting address will be your company address in your account's profile, but you can change this to a different address, if needed.

  11. Adjust the fuel surcharge name to match your billing preferences, if needed.
  12. Decide whether you want the fuel surcharge to be taxed.
  13. Decide whether you want fuel surcharge applied to additional task types.

All of your changes auto-save, so once you're done configuring this section, Docket will be ready to calculate fuel surcharges.

Set Up Additional Charges

Additional Charges are templates for one-time or conditional fees that aren't part of your standard rental pricing -- things like mattress disposal fees, tire fees, or dry run charges. Setting these up in advance means your team can apply them quickly during billing without having to create a manual line item each time.

To set up additional charges, follow the instructions below:

  1. Click into "Billing" in the main navigation.
  2. Click into "Additional Charges."
  3. Click "Add Charge" to create a new template.
  4. Enter a name for the charge (e.g., Mattress Fee, Tire Fee, Dry Run Fee).
  5. Enter the amount and any other relevant details.
  6. Click "Save."

TIP: Additional Charges work well alongside both pricing models. If you use Pricing Templates, you can also assign default additional charges to specific dumpster sizes in the Dumpster Settings by Size section.

  • Navigate to Billing > Additional Charges
  • Add templates for common fees (Mattress Fee, Tire Fee, Freon, etc.)

Configure Taxes

Tax settings in Docket control whether taxes are automatically applied to invoices and how tax groups are structured. These settings apply regardless of which pricing model you use.

To configure taxes, follow the instructions below:

  1. Click on your account name in the top right corner.
  2. Click on "Settings."
  3. Click into "Company."
  4. Click into "Billing Settings."
  5. Click into "Taxes."
  6. Enter your Tax ID, if applicable.
  7. Toggle on automatic tax application if you want Docket to add taxes to invoices automatically.
  8. Set up your Tax Group details, including the applicable tax levels (State, County, City, or a combination).

TIP: If your business operates in multiple locations with different tax rates, set up a separate Tax Group for each jurisdiction. You can then assign the correct group when creating a task.

Select Client Types and Pricing Types

If your pricing matrix prices differently by client type -- for example, charging contractors less than residential clients -- those client type names must exist in Docket's settings and match your matrix exactly. Pricing Types work the same way and give you an additional label for pricing model differentiation.

To add client types and pricing types, follow the instructions below:

  1. Click on your account name in the top right corner.
  2. Click on "Settings."
  3. Click into "Client Settings."
  4. Click into "Tags."
  5. Add each Client Type your business uses (e.g., Homeowner, Contractor, Commercial).
  6. Add Pricing Types, if your pricing model uses additional labels beyond client type.

Please Note: The names you enter here must match exactly what's in your pricing matrix or templates -- including capitalization and spacing. A mismatch will prevent Docket from matching the correct price.

Select Task Types

Task types control which job types your team can create and which ones Docket uses for billing. If your pricing model prices differently by task type -- for example, charging more for a dump-and-return than a standard drop-off -- those task types need to be enabled here.

To select your billing task types, follow the instructions below:

  1. Click on your account name in the top right corner.
  2. Click on "Settings."
  3. Click into "Add Ons."
  4. Click on "View" on the Dumpster Management card.
  5. Click into "Billing Options."
  6. Select each task type your business uses for billing (e.g., Drop-Off, Pick-Up, Dump and Return).

Please Note: Task types selected here must match the task types in your pricing matrix or templates. If a task type is used in a task but isn't set up for billing, pricing may not apply correctly.
