Docket's New Reports: Beta launch

Summary

At Docket, we understand that easy access to your data is vital to your ability to make informed business decisions, and we're excited to introduce an new reporting experience that makes accessing and understanding data easier than ever.

We're starting with a beta test that includes a few highly utilized reports, and plan to expand new reporting options over time to best serve our customers. By the end of Q1 2025, our goal is to have 15 reports accessible through our new reporting solution.

The initial three reports for beta launch include:

  1. Accounts Receivable Aging
  2. Sales
  3. Payments & Refunds

Account Access Controls

Access to these new reports will be enabled by default for Administrators and Office Staff. If you'd like to disable access, you can do so via Employees > Access > Reports (beta) > Toggle off individual reports > Update Access:

Accounts Receivable Aging Report Overview & Video Guide

The Accounts Receivable Aging Report provides an overview of outstanding invoices categorized by the number of days they have been overdue. This report helps track unpaid invoices, assess customer payment trends, and manage cash flow effectively.

Accounts Receivable Aging Report Key Features

  • Aging Summary: Displays a high-level breakdown of outstanding balances across different aging buckets (e.g., 0-30, 31-60, 61-90, and 90+ days overdue).
  • Client and Sales Rep Filtering: Allows users to filter results based on client name, client type, or sales representative.
  • Detailed Aging - Breakdown: Shows individual outstanding balances per client and invoice.
  • Pivot Table Data Representation: Provides a structured view of the accounts receivable by invoice number.

Accounts Receivable Filters and Parameters

  • As of Date: The report is based on a specific date, which can be adjusted.
  • Client Name: Allows users to filter results for a specific client.
  • Client Type: Enables filtering by different client categories.
  • Sales Rep Name: Users can refine the data by selecting sales representatives.

Accounts Receivable Aging Summary

Displays total outstanding balances broken down into the following aging buckets:

  • Current (0 days overdue)
  • 1-30 days overdue
  • 31-60 days overdue
  • 61-90 days overdue
  • 90+ days overdue

The total outstanding balance is prominently displayed.

Accounts Receivable Aging Table

  • Lists detailed invoice balances per client.
  • Categorizes balances into aging buckets.
  • Provides a sum of outstanding balances across different aging periods.

Accounts Receivable Aging Troubleshooting & Common Issues

Issue: "Pivot table is incomplete. It had >100,000 rows. Try filtering to reduce the row count."

Cause: The dataset contains more than 100,000 rows, exceeding the display limit.

Solution: Apply filters such as:

  • Selecting a specific client or client type.
  • Adjusting the aging bucket selection.
  • Narrowing the date range.

 

Sales Report Overview & Video Guide

The Sales Report is a consolidation of reports that breaks down sales across various entities. Docket used to have a large number of individual sales reports that displayed similar metrics with only slight variation. With this new reporting structure users can now see all of these various sales aggregations in one place.

Sales: Understanding the Report Sections

Navigating Between Tabs

Blue action buttons appear at the top of the report to guide users between tabs of the sales report. The tabs in this report will look familiar to users as they used to be individual reports in Docket.

Each section of the report allows docket users to see sales numbers over a given time period with the ability to filter on a specific sales rep or customer. Specifically, here is the function of each:

  • Sales by Invoice: Users can view total numbers in the summary section, or drill down into invoice level data in the table at the bottom of the report.

  • Sales by Sales Rep: Users can view total numbers in the summary section, drill down into sales rep level data in the table at the bottom of the report, or expand the table to show invoice level data per sales rep.

  • Sales by Line Item: Users can view total numbers in the summary section, drill down into line item level data in the table at the bottom of the report. The line item table shows the frequency and dollar amounts associated with line items according to selected filters.

Sales Filters and Parameters

Below the action buttons, users will find a set of filters that are synced across all report tabs. For example, if someone applies a date filter to the “Sales” section of the report, it will also apply to the “Sales by Sales Rep” section of the report. Users will see this as they move between sections in the reports using the blue action buttons. Filters include:

  • Date Range: Filters to invoice dates that fall within the selected date range.

  • Sales Rep: Filters to data related to clients with the specified sales rep.

  • Client: Filters data by selected client(s).

Sales Summary

The summary section of the report is a cluster of elements designed to replace the “Show Summary” option that appeared on several of the old Docket reports.

 

Payments and Refunds Report Overview & Video Guide

The Payments and Refunds Dashboard provides a comprehensive view of all payment transactions, including refunds, voids, and pre-authorizations. This dashboard helps monitor financial transactions, assess payment trends, and track refunds efficiently.

Payments and Refunds Report Key Features

  • Transaction Summary: Displays key payment and refund metrics, such as total payments, number of transactions, and refund amounts.

  • Filtering Options: Users can filter transactions by date range, client name, creator, and client type.

  • Detailed Payments & Refunds Table: Provides an itemized list of all transactions, including payment type, amount, and associated client information.

  • Pre-Authorization and Voids Tracking: Identifies transactions marked as pre-authorized or voided.

  • Date Range: Select the transaction date range to refine results.

  • Client Name: Filter transactions by specific clients.

  • Created By: View payments initiated by specific users.

  • Client Type: Narrow results by client category.

Payments and Refunds Summary

This section provides key financial insights, including:

  • Payments & Refunds: Total number of transactions processed.

  • Total Payments: Sum of all processed payments.

  • Average Payment Amount: Mean transaction value.

  • Pre-Authorizations: Number and total value of pre-authorized transactions.

  • Refunds: Number and total value of refunded transactions.

  • Voids: Count and amount of voided payments.

  • Estimated Taxes: Approximate tax amount applied to transactions.

  • Processing Fee Total: Sum of all payment processing fees.

  • Net Total: Total payments minus refunds and processing fees.

 

Exporting Data

Customers can export a table using the three dots in the upper right hand corner of the table. They will be able to select the format for the export in this menu.

Limitations to Exporting Data:

  • The maximum number of rows that can be exported is 1 million. Users should chunk the data out using filters if they exceed this row limit.
