How to Export or Send the Payments and Refunds Report
Before You Start
Here are a few things to know before you continue:
- By default, Admins and Office Staff have access to Reports (Beta). Admins can also choose to grant access to other roles.
- If you don't see the Reports (Beta) option in your menu, you may not have the necessary permissions. Reach out to your Admin for access.

Key Features
- Transaction Summary: Displays key payment and refund metrics, such as total payments, number of transactions, and refund amounts.
- Created By & Client Filtering: Allows users to filter results by who it was created by, client name, and type.
- Detailed Payments & Refund Breakdown: Provides an itemized list of all transactions, including payment type, amount, and associated client information.
- Pre-Authorization & Voids Tracking: Identifies transactions marked as pre-authorized or voided.
Using the Payments and Refunds Report
- Click ‘Reports (Beta)’ in the left-hand menu under ‘Administration.’
- Scroll down to find ‘Payments and Refunds [Beta]’ listed under ‘Financial Reports.’
- Click ‘Open Inline’ to run the report in Docket.

Payments and Refunds Report Summary
When the report loads, you'll see a summary at the top that breaks down your payments and refunds into key categories, giving you a quick and easy snapshot of your transactions.
Please Note: When you first open the report, the summary may appear limited because the default ‘Date Range’ filter is set to ‘Yesterday.’
The different categories in this summary of payments and refunds:
- Number of Payments
- Number of Payments and Refunds: Total number of transactions processed.
- Total: Payments total.
- Pre-Authorizations: Number of pre-authorized transactions.
- Pre-Authorizations Total: Total of pre-authorized transactions.
- Estimated Taxes: Approximate tax amount applied to transactions.
- Processing Fee Total: Sum of all payment processing fees.
- Refunds: Number of refunded transactions.
- Refunds Total: Total value of refunded transactions.
- Average Payment: Average transaction value.
- Voids: Number of voided payments.
- Voids Total: Total value of voided payments.
- Payments Total: Sum of all processed payments.
- Net Total: Total payments minus refunds and processing fees.
Please Note: The summary will automatically update after each filter option is selected or changed.

Below the payments and refunds report summary, you can refine your results using filter options.
The Payments and Refunds Report offers a range of filters to help you narrow down and view specific data:
- Date Range: Select the transaction date range to refine results.
- Timezone: Choose the timezone the report should reference.
- Client: View transactions for a specific client.
- Created By: View transactions initiated by certain team members.
- Client Type: Narrow results based on client categories.
How to Export or Send the Sales Report
Export Report
Once you have your report displaying the information you want, you can download it for your records.
- Hover over the table so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over ‘Export.’
- Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
- When exporting as a PDF, you can choose Portrait or Landscape layout.
Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.
Send Report
In addition to downloading the report to your computer, you can also email the report.
- Hover over the table so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over ‘Export.’
- Click ‘Export…’ at the bottom of the list under the ‘Send’ section.
- In the pop-up that appears, click the mail icon.
- Enter the email address of the recipient.
- Click ‘Export’ to send an email with the report attached.
Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
