Set Up and Manage Your Dumpster Assets' Availability

Maintaining accurate asset availability in Docket is important to ensure rental counts are correct and online booking runs smoothly if you're using DocketShop.

After you've added your dumpsters to your Docket account, you'll need to set up their availability so Docket knows what’s available to rent out and what isn’t.

It's also important to regularly check your dumpsters' availability so your operations stay smooth and up-to-date.

Before You Start

Here are a few things to know before you continue:

  • Before you set up your asset availability, you first need to add your dumpster assets.
  • As a best practice, you should regularly review your assets' availability to ensure accurate counts and smooth operations.
  • Docket will automatically update your assets' availability when tasks are scheduled and completed.
  • Docket will NOT automatically update your asset availability if you add or delete a dumpster asset in your account.

Set Up Asset Availability 

After you've added your dumpsters to your Docket account, you'll need to set up their availability so Docket knows what’s available to rent out and what isn’t.

To set up your dumpsters' availability, just follow the below instructions:

  1. Click on the Asset Availability icon in the top right of your Docket account.

  2. Click "Set Availability" on the table that appears.

  3. Enter the total number of each dumpster size you currently have available to rent. DO NOT INCLUDE dumpsters that are currently onsite with a client.

  4. Click "Update" at the bottom to save your availability.

Now when you click on the Asset Availability icon or look at the Availability table in the Assets section, you'll see a table with each day's available assets.

Manage Asset Availability

After you've added your dumpster assets and updated their availability counts, Docket will automatically update your assets' availability when tasks are scheduled and completed.

For example, if you have 3 assets in your yard today and there are 2 Drop Off tasks scheduled for this afternoon, your asset availability will show a total of 1 asset available for rent today because 2 are already spoken for.

Please Note: Docket will NOT automatically update your asset availability if you add or delete a dumpster asset in your account, so it's important to remember to manually update your availability whenever you add or delete a dumpster.

Availability vs. Yard Counts 

When you're in the Assets section of your Docket account, you'll see two tables in the top right next to Map: Yard Counts and Availability.

The Yard Counts table holds asset counts that are manually recorded by your drivers in Docket's mobile app when they're picking up or dropping off dumpsters. Yard Counts may differ from Availability due to pending or unscheduled tasks.

The Availability table is what we've been discussing so far and where you'll see your manual adjustments as well as Docket's auto-adjustments based on your scheduled tasks.

Update Yard Counts 

If your Yard Count table shows a different number of assets than what you currently have available to rent, it's likely that a driver missed logging a Yard Drop when completing a Pick Up task and no one in the office caught it.

You can figure out which dumpster(s) may need to be updated by following the below instructions:

  1. Click on "Assets" to the left.
  2. Click on "Assets" in the top right.
  3. Use the filter option to sort your assets by Availability.

As a best practice, all available dumpsters should have the house icon next to them indicating that they've been updated with a Yard Drop and aren't onsite for a client anymore.

If you see an available dumpster with a map pin next to it or no icon at all, follow the below instructions to log a Yard Drop:

  1. Click on the dumpster that needs to be updated.
  2. Click into "Current" at the top.
  3. Click to expand the Yard Drop section and then click "Yard Drop" next to the location it's actually at currently.
  4. Click "Update Current" to save your changes.


    Your Yard Count table should now match what you physically have available in your yard for clients to rent.  

Update Asset Availability

There's a few different reasons why your asset availability may differ occasionally from what's actually available. Some common reasons are:

  • Incomplete/outstanding tasks.
  • Assets being added or removed.
  • New asset categories are added.
  • Scheduled Drop Off tasks will reduce your availability while scheduled Pick Up tasks will increase your availability.

If you realize your availability counts are incorrect, just follow the below instructions to update them:

  1. Click on the Asset Availability icon in the top right of your Docket account.

  2. Click "Update Availability" on the table that appears.

  3. Adjust the number for the dumpster size you've added or removed as needed.

  4. Click "Update" to save your changes.

We strongly recommend periodically checking your asset availability counts against what you actually have available and updating your availability as needed.
