Overview
In accounting software, setting a closed books date ensures that no transactions before that date can be altered, preserving the integrity of your financial reports. Once financial figures are reported for a specific period, it's crucial to prevent any changes to maintain accuracy. Docket offers a feature to set and manage a closed books date.
Manually Setting the Closed Books Date
To manually set the closed books date in Docket, follow these steps:
- Administrator Access Required: Ensure you have Administrator permissions.
- Navigate to Account:
- Select Account in the Navigation Panel.
- Select Company.
- Select Accounting.
- Select Actions under Accounting.
- Set Closed Books Date:
- Select Close the Books.
- Choose the Books Closed Date.
- Select Confirm.
Note: The closed books date must be set to a date before today's date. It cannot be set to today or any future date.
How the Closed Books Date Works
Once the closed books date is set, the following actions will not be allowed for dates within the closed period:
- Creating an invoice or credit memo.
- Scheduling or recording a payment.
- Refunding payments.
- Merging invoices.
- Voiding invoices.
- Marking invoices as bad debt.
The following actions are still permitted:
- Applying a credit memo to an invoice within the closed period.
- Voiding or canceling payments with a process date in the closed period, provided the payment hasn't been deposited or cleared.
Important: You do not need to reopen the closed accounting period to post payments. However, if you need to refund a payment, you must reopen the closed period.
Manually Reopening the Period
To manually reopen the period in Docket:
- Administrator Access Required: Ensure you have Administrator permissions.
- Navigate to Account:
- Select Account in the Navigation Panel.
- Select Company.
- Select Accounting.
- Select Actions under Accounting.
- Reopen the Period:
- Select Reopen the Period.
- Choose the Reopen Period Start Date.
- Select Confirm.
Note: When reopening the period, you must select a start date that is before your current closed books date. You must reclose the period before setting a new closed books date.
