Sales [Beta] Report Overview

The Sales [Beta] Report provides a consolidated view of your sales across all entities. It offers a single location to review key metrics, track performance, identify trends, and support data-driven decisions. Instead of switching between different views, you can now access all your key sales metrics in a single place. This makes it easier to track performance, spot trends, and make informed decisions.

Before You Start

Here are a few things to know before you continue:

  • By default, Admins and Office Staff have access to Reports (Beta). Admins can also choose to grant access to other roles. 
  • If you don't see the Reports (Beta) option in your menu, you may not have the necessary permissions. Reach out to your Admin for access.

Key Features

  • Sales Summary: Displays a summary of the totals of clients, invoices, and different important balances. 
  • Sales, Client & Rep Filtering: Allows users to filter results by client name, client type, or sales representative.
  • Detailed Breakdown: Lists important segmented information regarding each sale. 
  • Pivot Table View: Presents the data in a table format organized based on your Sales By filter.

Run the Sales [Beta] Report

  1. Click "Reports (Beta)" in the left-hand menu under Administration.
  2. Scroll down to find Sales [Beta] listed under Financial Reports.
  3. Click the "Open Inline" icon to run the report in Docket.

Sales [Beta] Report Summary

When the report loads, you'll see a summary at the top that breaks down your sales into key categories, giving you a quick and easy snapshot of your overall performance.

The different categories in this summary of sales:

  • Number of Clients
  • Number of Invoices
  • Total Profit
  • Average Invoice Amount
  • Subtotal
  • Total Invoiced
  • Total Balance

Please Note: This summary section will automatically update after each filter option is selected or changed. 

View Sales Summary

At the top of the report, you'll see a "View Sales Summary" button.

Clicking this button opens a sales dashboard, which provides a visual overview of sales performance and comparisons against prior periods. It complements the invoice-level Sales [Beta] Report by focusing on aggregate KPIs, trends, and channel performance.

The dashboard includes several key sections highlighting year-to-date and monthly performance indicators:

  • This Month’s Gross Sales: Total gross sales for the current month.

  • Year to Date (YTD) Gross Sales: Cumulative gross sales for the current year.

  • YTD vs. Last Year Percent (%) Change: Percent growth or decline compared to the same period last year.

  • This Year's Gross Sales vs. Last Year's Gross Sales by Month: Chart comparing this year's and last year's sales by month, including an overall trendline.

  • YTD Gross Sales Compared to Last Year Table: Table view of current versus prior year monthly YTD totals.

  • Top 10 Items by Revenue Year to Date: Ranked list of the highest-revenue items and services.

  • Top Ten Line Items by Total Sales Year to Date: Proportional breakdown of YTD revenue by line item.

  • Direct vs. Online Sales Year to Date: Stacked bar chart of revenue split between direct and online sales.

Sales [Beta] Report Filters and Table

Report Filters

Below the sales report summary, you can refine your results using filter options.

The Sales Report offers a range of filters to help you narrow down and view specific data:

  • Sales By: Select how you want to display sales data. Available options include:
    • Invoice: Dive into invoice level data.
    • Sales Rep: Breakdown into sales rep level data and expand the table to show invoice level data per sales rep.
    • Line Item: Examine line item level data. The line item table shows the frequency and dollar amounts associated with line items according to selected filters.
  • Timezone: Choose the timezone the report should reference.
  • Date Range: Pick date or date range for the report data.
  • Sales Rep: Filter results by specific sales representatives.
  • Client: View results for a specific client.

Sorting the Table 

After using the filters based on your preferences, you have additional options to sort the data that is presented in the table below.

  1. Click one of the table’s column headers.
  2. Select your sorting preference.
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Total column will sort numerically while the Client column will sort alphabetically.

Expanding Sales Data in Table

When using the Sales By options of Sales Rep or Client, you will have an additional option in the table to expand the summary information. To view more details, for an individual sales rep or client, click the "+" icon next to their name. This will expand the table to the right where you can scroll to see all relevant information. To expand all details, click the "+" at the top-left of the table, appearing next to Sales Rep in the example below.

Please Note: Before exporting or sending a table, be sure to use the "+" icon at the top of the table to expand all rows if you would like the additional details included. Only fully expanded rows will appear in the exported or shared file, while partially expanded rows will not be included.

Export or Send the Sales Report

Export Report

Once you have your report displaying the information you want, you can download it for your records. 

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over "Export."
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
    • When exporting as a PDF, you can choose Portrait or Landscape layout.

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send Report

In addition to downloading the report to your computer, you can also email the report.

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over "Export."
  4. Click "Export…" at the bottom of the list under the Send section.

  5. In the pop-up that appears, click the mail icon.

  6. Enter the email address of the recipient.
  7. Click "Export" to send an email with the report attached.

Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
