Sales by Franchise Report Overview

The Sales by Franchise Report gives you a single place to review sales, payments, and outstanding balances across every sub account tied to your franchise. It breaks down key invoice metrics like subtotal, fees, taxes, and profit so you can track performance across locations without pulling separate reports for each one.

If your business runs multiple sub accounts, this report helps you spot which locations are performing well, which ones have outstanding balances piling up, and where revenue might be slipping through the cracks. You can review everything as totals or switch to averages, depending on what you’re trying to compare.

Before You Start

Here are a few things to know before you continue: 

  • By default, Admins and Office Staff have access to Reports. Admins can also choose to grant access to other roles. 
  • If you don't see the Reports option in your menu, you may not have the necessary permissions. Reach out to your Admin for access.

Key Features

  • Summary: Displays key totals like Subtotal, Convenience Fees, Fuel Surcharges, Taxes, Tip, Total, Payment, Balance, and Profit. 
  • Filtering Options: Filter results by date range, timezone, sub account, and franchise id. 
  • Report Views: The “View By” dropdown lets you switch between Total and Average views for all of your summary metrics.

Run the Sales by Franchise Report

To run the Sales by Franchise Report, follow these steps:

  1. Click “Reports” in the left-hand menu under Administration.
  2. Scroll down to find the Sales by Franchise Report listed under Franchise Reports. 
  3. Click the “Open Inline” icon to run the report in Docket.

Sales by Franchise Report Summary

When the report loads, the summary at the top breaks your sales down into key categories, giving you a quick snapshot of performance across all your sub accounts.

The categories in this summary are:

  • Subtotal: Your invoice totals before taxes, fees, or surcharges.
  • Convenience Fees: The convenience fees added to your invoices.
  • Fuel Surcharges: Any fuel surcharges included on your invoices.
  • Taxes: The sales tax calculated on your invoices.
  • Tip: Any tips added to invoice payments.
  • Total: Your full invoice amount, including taxes, fees, and surcharges.
  • Payment: Payments collected on your invoices during the date range you selected.
  • Balance: The amount still owed on invoices that haven’t been fully paid.
  • Profit: Your profit per invoice (Total minus cost), when cost data is available.

Sales by Franchise Report Filters

Use the filters at the top of the report to narrow your results. 

  • View By: Switch the table below between Total and Average views.
  • Timezone: Choose the timezone the report should reference.
  • Date Range: Choose the timeframe for the report. Defaults to month to date.

In addition to the filters that appear at the top of the report, you can click All Filters to use additional filters for your report. 

Additional filters include:

  • Sub Account: Select one or more specific sub accounts.
  • Franchise Id: Enter a franchise ID to narrow your results further.

Sales by Franchise Report Views

Use the View By field to switch your summary cards and table columns between Total and Average.

When you switch to Average, you’ll see your summary cards and table update to show average figures per invoice alongside your totals, including # of Invoices, Average Subtotal, Average Total, and Average Profit.


Expand or Collapse Details in a Table 

The table in the report lists your franchises (sub accounts) with high-level totals. To see more invoice details, click the "+" icon next to a row to expand it. Click the "-" icon on that same row to collapse it back down.

TIP: Click the "+" or "-" icon in the column header to expand or collapse every row in the table at once, instead of doing it one row at a time.

View Your Sales Summary

Click the “View Sales Summary” button near the top of the report to open a dashboard with a visual breakdown of performance across your franchise. This gives you a higher-level view than the invoice-level table below it.

The dashboard has two views: Franchise Summary and Sub Account Summary. Use the buttons at the bottom right of the window to switch between them.

Franchise Summary

Franchise Summary is the default view when you open the dashboard. 


The Franchise Summary shows:

  • This Month Gross Sales: Total gross sales for the current month, along with the percent change compared to the same month last year.
  • Year to Date (YTD) Gross Sales: Cumulative gross sales for the current year.
  • YTD % vs. Last Year: Percent growth or decline compared to the same period last year.
  • This Year’s Gross Sales vs. Last Year’s Gross Sales by Month: A chart comparing monthly totals year-over-year, with a trendline for the current year.
  • YTD Gross Sales Compared to Last Year: A table breaking down monthly totals, prior year totals, and the percent difference between them.

Sub Account Summary

Click “Sub Account Summary” at the bottom right of the dashboard to switch to a location-level view. 



The Sub Account Summary shows the same This Month Gross Sales, YTD Gross Sales, and YTD % vs. Last Year metrics as Franchise Summary.





Additionally, the Sub Account Summary contains:

  • Select Sub Account(s): A dropdown to narrow the dashboard to specific sub accounts.
  • This Year’s Top 10 Account’s Gross Sales vs. Last Year’s: A chart ranking your top 10 sub accounts by YTD gross sales, compared to the same period last year.
  • YTD Gross Sales Compared to Last Year by Sub Account: A table breaking down monthly totals for each sub account, with the percent difference from last year.

TIP: Click “Export Summary as PDF” at the top of either view to download the dashboard for your records.

Sort the Sales by Franchise Report

After using the filters based on your preferences, you have additional options to sort the data that is presented in the table.

To sort the data in a table using the column headers:

  1. Click the down arrow at the top of one of the table’s column headers.
  2. Select your sort preference or click the gear icon for additional options.
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Total column will sort numerically while the Sub Account column will sort alphabetically.

Export or Send the Sales by Franchise Report

You can download or email the tables in the Sales by Franchise Report.

Export the Report

Once you have the table in the report displaying the information you want, you can download it for your records. 

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
    • When exporting as a PDF, you can choose Portrait or Landscape layout.


 

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading the table in the report to your computer, you can also email it.

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.



     

  5. In the pop-up that appears, click into the Destination field and select “Email” in the drop-down menu.
     


     

  6. Enter the email address of the recipient.
  7. Click “Export” to send an email with the report attached.



     

Please Note: On the final screen, you can also customize the email subject and message, select specific attachments and file types, or send the report as a .zip file.
