Docket Jobs & Junk Removal Workflow Guide

Docket's Jobs feature is ideal for managing non-dumpster-based services such as junk removal, material delivery, or general project-based work. This guide walks through how to configure, schedule, manage, and invoice jobs using Docket’s job dashboard and related tools.

When to Use Jobs vs. Dumpster Tasks

Step 1: Initial Job Configuration

Required Settings

  1. Billing Template Categories
    • Navigate to: Settings > Company > Billing Settings
    • Add categories like "Junk Removal," "Landscaping," etc.
  2. Billing Templates
    • Navigate to: Billing > Templates
    • Create templates like:
      • "Half Truck Haul"
      • "Full Truck Haul"
      • "Junk Removal Services" (set cost to $0 for quote-based jobs)
  3. Employee Tags (Optional)
    • Navigate to: Settings > Company > Employee Settings
    • Add tags such as "Junk Hauling," "Dumpsters," "Landscaping"
  4. Terms & Conditions
    • Navigate to: Settings > Billing Settings > Invoice
    • Add custom terms for junk jobs under the relevant category

Step 2: Scheduling a Job

Creating a Job

  • Use the + New > Schedule Event > Job workflow
  • Add:
    • Client Info (billing & service address)
    • Description (what needs to be done)
    • Start Date / Time
    • Job Duration (in hours or days)
    • Priority (Low/Medium/High)
    • Bid Indicator (if the job is still in estimation phase)
    • Team Members + Vehicle
    • PO / Project Name (optional)
    • Additional Notes
    • Attach Forms or Checklists (optional)

Step 3: Managing the Job (Jobs Dashboard)

Job Details Tab

  • Edit job description, status, team, address, and duration
  • Mark job as complete/incomplete
  • View linked client info

Team Tab

  • Add/remove assigned employees
  • Assign a vehicle

Billing Tab

  • Invoice Options:
    1. Create manual invoice
    2. Create estimate (then convert to invoice)
    3. Apply payment to invoice
  • Estimate Conversion Workflow:
    1. Create estimate
    2. Send to client
    3. View response (accepted/declined)
    4. Convert to invoice when accepted

Expenses Tab

  • Track labor, equipment, or supply costs
  • Configure categories under: Settings > Expense Settings

Chat Tab

  • Internal team communication
  • Client communication (requires 10DLC registration)

Notes & Attachments Tab

  • Add before/after photos
  • Upload supporting documents or images

Forms Tab

  • Add checklists like:
    • Vehicle Inspection
    • Equipment Checklist
    • Job Completion Form

Tasks Tab

  • Create internal to-do items or client-facing steps
  • Add dumpster tasks linked to the job

Step 4: Dispatching Jobs

Dispatch Tab

  • Toggle between Tasks (dumpster) and Jobs views
  • View jobs grouped by Vehicle or Employee
  • Monitor status updates throughout the day

Step 5: Notifications

Notification Settings

  • Navigate to: Settings > Notifications
Notification Type Trigger
Job Assignment (Employee) When job assigned to staff
Job Completion (Employee) When marked complete
Client Notifications Job scheduled, reminder, on-the-way, time updated, job complete

Note: Text notifications require 10DLC registration.

Optional Settings for Advanced Job Workflows

  • Navigate to: Settings > Company > Job Settings
  • Configure:
    • Team Availability (per day)
    • Default Job Duration
    • Default Forms
    • Post-Schedule Confirmation Message
    • Job Priorities Dropdown

Step 6: Forms for Lead Capture & Job Setup

Creating Web Forms

  • Navigate to: Forms > Add New > Create Form
  • Use form type: Web
  • Recommended Fields:
    • Name / Contact Info
    • Service Address
    • Requested Service Date
    • Job Description
    • Image Upload
    • Optional Signature

Sharing Forms

  • Email directly from Forms tab
  • Use Copy URL or Copy Embed URL for website
  • Submitted forms appear under the Leads tab

Lead Workflow

  1. Review lead details
  2. Click “I'm ready to review”
  3. Create client from lead (if needed)
  4. Schedule a job or send estimate/invoice

Step 7: Online Booking Options (Pro Feature)

Conditional Routing in Docket Shop

  1. Use questions like: "What service are you looking for?"
    • Option A: Dumpster Rental → route to product catalog
    • Option B: Junk Removal → route to Web Form
  2. Use redirect URLs or landing pages
  3. Form submission starts the lead-to-job workflow

Summary
