Rentals Report Overview

The Rentals Report provides detailed visibility into dumpster and rental activity within a selected date range and timezone. It combines operational data, such as drop-off and pickup timing, tonnage, and dump costs, with invoice-derived revenue to support both financial review and operational oversight.

You can group results to analyze rental activity by date range, client, county, or sales rep, and apply filters to focus on specific clients, categories, dump locations, or invoicing status.

Before You Start

Here are a few things to know before you continue:

  • By default, Admins and Office Staff have access to Reports. Admins can also choose to grant access to other roles. 
  • If you don't see the Reports option in your menu, you may not have the necessary permissions. Reach out to your Admin for access.

Key Features 

  • Report View: Select how to view rental activity by using a drop-down to choose from date range, client, county, or sales rep.
  • Filtering Options: Allows users to filter rentals by report type, date range, and timezone.
  • Report Table: Provides an itemized list of activities, including address, category/size, drop-off and pickup dates, tonnage, dump costs, revenue, and invoice details.

Run the Rentals Report

  1. Click “Reports” in the left-hand menu under Administration.
  2. Scroll down to find Rentals listed under Operations Reports.
  3. Click the “Open Inline” icon to run the report in Docket.

Rentals Report Filters and Table

Report Filters

At the top of the report, you can refine your results using filter options.
 


 

The Rentals Report  offers a range of filters to help you narrow down and view specific data:

  • Report Type: Toggle to view Rental or Dumpster records in the report’s table.
  • Date Range (Required): Limits the tasks included in the report to the chosen reporting timeframe. This defaults to yesterday.
  • Timezone (Required): Controls how dates/timestamps are interpreted and displayed.
  • Rentals View: Defines the grouping for the report by Date Range, Client, County, or Sales Rep.

In addition to the filters that appear at the top of the report, you can select “All Filters” to use additional filters for your report. 
 


 

Additional filters include:

  • Client Name: Filter report by selected clients.
  • Category: Narrow results by rental or dumpster category.
  • Dump Location: Narrow results to selected locations.
  • Has Invoice: Filter results to those with or without invoices.

Please Note: The report will automatically update after each filter option is selected or changed. 

Report Table

Depending on your “Report By” toggle, the table under the summary breaks down rental or dumpster activity and provides additional information like drop-off and pickup dates, dump costs, and tonnage.
 

Sort the Table

After using the filters based on your preferences, you have additional options to sort the data that is presented in the table below.

  1. Click the down arrow at the top of one the table’s column headers.
  2. Select your sorting preference. 
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Revenue column will sort numerically while the Client Name column will sort alphabetically.
       

Export or Send the Rentals Report

Export the Report

Once you have a section of your report displaying the information you want, you can download it for your records. 

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
    • When exporting as a PDF, you can choose Portrait or Landscape layout.
       

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading a section of the report to your computer, you can also email a section.

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.



     

  5. In the pop-up that appears, click into Destination.
  6. Select “Email” in the drop-down.



     

  7. Enter the email address of the recipient.
  8. Click “Export” to send an email with the report attached.


Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
