Tasks Report Overview

The Tasks Report gives you one place to see everything happening with your dumpster and rental tasks: what’s scheduled, what’s completed, what failed, and what it’s costing you.

Instead of running separate reports for scheduled tasks, completed tasks, failed tasks, and task metrics, you get one report with a Report View dropdown that switches between nine different ways to look at your task data. A Report Type toggle lets you pull the same views for either your dumpster or rental tasks.

Before You Start

Here are a few things to know before you continue: 

  • By default, Admins and Office Staff have access to Reports. Admins can also choose to grant access to other roles. 
  • If you don't see the Reports option in your menu, you may not have the necessary permissions. Reach out to your Admin for access.
  • If you are an Admin and would like to grant additional employees access to reports, please check out this article. 
  • The Day filter follows your tasks’ scheduled activity, not when a task was created or completed. If a task is scheduled for today but doesn’t get marked complete until tomorrow, it still counts under today in the Day filter.
  • The Deleted Tasks view doesn’t use the Day filter. It has its own Deleted Date filter instead, since deleted tasks are stored separately from the rest of your task data.

Key Features

  • Summary: Shows high-level task counts by type, your total tasks, and your total costs. 
  • Filtering Options: Filter results by day, timezone, task number, task status, driver, and more. 
  • Report Type: Toggle to view Dumpster or Rental tasks. The report stays on the same view, filters, and layout, only the underlying data changes. 
  • Report Views: Switch between nine views, Summary, By Employee, By Client, By Client Type, By Service Address, By Task Type, By Task Notes, Deleted Tasks, and Task Metrics, to see your task data broken down the way you need it. 

Run the Tasks Report

To run the Tasks Report , follow these steps:

  1. Click “Reports” in the left-hand menu under Administration.
  2. Scroll down to find the Tasks Report  listed under Operations Reports. 
  3. Click the “Open Inline” icon to run the report in Docket.

Tasks Report Summary

When the report loads, the summary at the top gives you a snapshot of your task activity for the selected filters. These tiles stay the same no matter which Report View you have open below them, so you always have a steady baseline to compare against. 

The categories in this summary are:

  • Drop Off: Number of drop off tasks.
  • Pick Up: Number of pickup tasks.
  • Exchange: Number of exchange tasks.
  • Dump and Return: Number of dump and return tasks.
  • Relocate: Number of relocate tasks.
  • Service: Number of service tasks.
  • Live Load: Number of live load tasks.
  • Failed: Number of failed tasks.
  • Total Tasks: Overall number of tasks matching your filters, highlighted since it’s often the number you’ll check first.
  • Total Costs: Total cost across those tasks.

Please Note: The Deleted Tasks view doesn’t follow this rule. Its summary pulls from a different, broader dataset instead of your Day filter. See “Understand Report View Totals” below for why. 

Tasks Report Filters 

Use the filters at the top of the report to narrow your results. 

  • Report View: Switch the table below between nine breakdowns of your task data. Defaults to Summary. 
  • Report Type: Toggle between Dumpster and Rental tasks. Defaults to Dumpster.
  • Day: Filters tasks by scheduled activity for the chosen range. Defaults to “This month to date.”
  • Timezone: Controls how every date and time in the report is interpreted and displayed. Defaults to Eastern Time (US & Canada). 
  • Task Number: Narrow results to one or more specific tasks.
  • Task Status: Narrow results by task status, like Completed, Not Started, or Failed.

In addition to the filters that appear at the top of the report, you can click “All Filters” to use additional filters for your report. 

Additional filters include:

  • Driver: Narrow results to one or more drivers.
  • Date: A separate date range filter available inside the modal.
  • Scheduled Datetime: Narrow Completed Tasks results by their scheduled date and time.
  • Is Completed: Filter to only completed tasks, only incomplete tasks, or both.
  • Exclude Task Types: Leave specific task types out of your results.

The report automatically updates after each filter option is selected or changed.

Please Note: The Deleted Tasks view has its own separate filters, Deleted Date and Deleted By, instead of the filters listed above. See the Deleted Tasks section below.

Tasks Report Views 

Click into the “Report View” dropdown to switch the table below the summary between nine different breakdowns of your task data. 

Summary

This is the default view. It groups your tasks by date and task status, so you can see how many tasks landed in each status on a given day. Expanding a row shows the individual tasks behind that date and status, including task number, driver, category, materials, scheduled and completed dates, client name, address, who created the task, and payment status. 

By Employee

This view groups your tasks by the employee who created them and breaks down their workload by task type.

By Client

This view groups your tasks by client, so you can see each client’s total task count and a breakdown by task type.

By Client Type

This view groups your tasks by client type and shows the total tasks and total costs for each type. Expanding a row shows the individual tasks behind that client type, including task number, task completion date, driver, task status, equipment type, size, and dumpster material. 

By Service Address

This view groups your tasks by service address and shows the total tasks and total costs for each address. Expanding a row shows the individual tasks behind that address, including task number, task completion date, driver, task status, equipment type, and size. 

By Task Type

This view groups your tasks by task type, like Drop Off or Pick Up, and shows the total tasks and total costs for each type. Expanding a row shows the individual tasks behind that task type, including task number, task completion date, driver, task status, equipment type, size, and dumpster material. 

By Task Notes

This view gives you task-level detail alongside your task notes, grouped by date. Columns include task number, task status, type, category, equipment pin label, scheduled and completed dates, client name, and address.

Deleted Tasks

This view shows every task that’s been deleted within your selected Deleted Date range, grouped by date.

  • Deleted Date: Filter to tasks deleted within a specific date range.
  • Deleted By: Filter to tasks deleted by one or more specific users.

Please Note: Deleted tasks are stored separately from the rest of your task data. That’s why this view uses its own Deleted Date filter instead of the Day filter used everywhere else in the report, and why its KPI tiles won’t match what you see on other views. See “Understand Report View Totals” below.

Task Metrics

This view gives you flat, task-level detail without any grouping, so every task appears as its own row. Columns include driver, task number, task status, type, size, scheduled date, start date, completion date, client name, and address.

Expand or Collapse Details in a Table 

The Report Views group your tasks into rows, like a client, employee, or service address, with the individual tasks behind that row tucked away until you need them. 

To see that detail, click the "+" icon next to a row to expand it. Click the "-" icon on that same row to collapse it back down.

TIP: Click the "+" or "-" icon in the column header to expand or collapse every row in the table at once, instead of doing it one row at a time.

Understand Report View Totals

Each Report View pulls from a different slice of your data, so you’ll sometimes see totals that don’t match each other or the summary at the top. That’s expected, not a bug.

Why Doesn’t Deleted Tasks Match the Other Views?

Deleted tasks live in a separate part of Docket’s database from the rest of your task data. Because of that, the Deleted Tasks view doesn’t follow the Day filter the way every other view does. Instead, it uses its own Deleted Date filter, and its KPI tiles reflect that separate dataset rather than your Day filter selection.

TIP: If the numbers on the Deleted Tasks view look much higher than what you’re used to seeing elsewhere in the report, set a Deleted Date range to narrow the results down to the period you care about.

Sort the Tasks Report

After using the filters based on your preferences, you have additional options to sort the data that is presented in the table.

To sort the data in a table using the column headers:

  1. Click the down arrow at the top of one of the table’s column headers.
  2. Select your sort preference or click the gear icon for additional options.
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Task Number column will sort numerically while the Client Name column will sort alphabetically.

Export or Send the Tasks Report

You can download or email the tables in the Tasks Report.

Export the Report

Once you have the table in the report displaying the information you want, you can download it for your records. 

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
    • When exporting as a PDF, you can choose Portrait or Landscape layout.

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading the table in the report to your computer, you can also email it.

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.



     

  5. In the pop-up that appears, click into the Destination field and select “Email” in the drop-down menu.
     


     

  6. Enter the email address of the recipient.
  7. Click “Export” to send an email with the report attached.


Please Note: On the final screen, you can also customize the email subject and message, select specific attachments and file types, or send the report as a .zip file.
