The Billing Issues section at the top of your Dumpster Management settings is where you’ll select your overage settings and decide how you want to track issues with billing customers.
Before You Start
Here are a few things to know before you continue:
- We recommend that only the Account Owner(s) or Admins(s) set up or change the settings covered in this article.
- Depending on how your permissions are set up you may not be able to access some or all of these settings. Please reach out to your Account Owner if additional access is needed.
- Some of the settings covered in this article have dependencies, meaning other settings have to be enabled and set up in order for the settings under the Billing Issues section to appear.
Dumpster Management: Billing Issues Directory
Add Task Images To Additional Charges Invoice
This setting controls whether or not pictures that your drivers take are automatically added to an invoice you create and send to your customers.
If you bill in advance, there may be additional charges your customer incurs that you need to compile into an invoice and send to them for payment.
If you turn this setting on, any pictures your driver takes through their Docket Driver App will be automatically added to the invoice you or your team creates with all those additional charges. The images will also be automatically sent to your customer along with their invoice.
By default, this setting is turned off and we highly recommend leaving it off since driver pictures are usually a way for you and your team to internally track things, like damages or overflow.
Keeping this off means that you can decide when images should be associated with an invoice and sent to customers instead of Docket doing it automatically every time a driver takes a picture in their app.
Add Task Ticket Images To Additional Charges Invoice
This setting controls whether or not the weight ticket from the dump or landfill your driver visited is automatically added to an invoice you create and send to your customers.
Similar to the setting covered above, turning this setting on will automatically add any weight ticket pictures that your driver takes with their Docket Driver App to an invoice that you create and send to your customer.
By default, this setting is turned off and we highly recommend leaving it off since not all weight ticket pictures need to be shared with customers when charging them for weight overages.
Keeping this off means that you can decide when images should be associated with an invoice and sent to customers instead of Docket doing it automatically.
Automatically Create Charges for Billing Issues
This setting controls whether or not charges are created and tracked automatically as billing issues come up.
By default, this setting is turned off, but we highly recommend that you turn this on regardless of what billing method you selected (Invoice versus Charge).
When this setting is on, Docket will automatically add an additional charge to the Charges section of the related task and you’ll see a charge tracked under the Billing Issues tab of your Assets section. This includes rental period overages, weight overages, and late payment fees.
Enable Billing Issues
This setting is the main option for whether or not Docket tracks billing issues in your account.
By default, this setting is turned on and we highly recommend leaving it on so Docket can track unresolved billing issues for you.
This setting also controls whether or not Docket shows your tracked billing issues as a separate list in the Assets section of your account. That list acts as a central location you and your team can check each day to resolve any lingering billing issues and outstanding balances owed to your business.
Invoicing Additional Charges for Exchange and Dump and Return
This setting controls when Docket prompts you to create an invoice with additional charges for Exchange and Dump and Return tasks.
When a Dump and Return or Exchange task is created, Docket will prompt you to create an invoice for the fee your business charges.
You can have Docket prompt you to create an invoice after the pick-up task is created, after the drop-off task is created, or after both are created if you charge a fee for both sides.
Minimum Weight Overage (Ton)
This setting allows you to set the minimum amount of weight, calculated in tons, that your customer must add to a dumpster rental.
Some dump locations or landfills charge businesses for a minimum amount of weight, so this setting acts as a guarantee that your customers will meet that minimum amount, avoiding unnecessary fees for your business.
Rental Length Overage Calculation
This setting is very important because it controls when Docket starts tracking day overages and calculating your overage fee.
By default, this setting will be set to Actual, but we highly recommend changing it to Anytime During Pick Up Day.
Actual:
In order to avoid a day overage charge for your customer, your driver has to complete the pick-up task for a dumpster rental by the same exact time the original drop-off task was completed.
Even if the driver or your dispatch team marks the pick-up task completed just a few minutes later than the original drop-off task was marked complete, Docket will still automatically calculate a day overage fee for the customer.
Anytime During Pick Up Day:
When this option is selected, your driver can mark the pick-up task as completed at any point during the scheduled pick-up day. Docket will only calculate a day overage fee for the customer if the pick-up task isn’t completed by the next following day.
Rental Pricing Type
This setting controls how your pricing will be calculated once a task has been completed.
By default, this setting will be set to Haul Plus Tonnage. Depending on your billing practices you may want to change this to Flat Rate, but most businesses leave the default option set.
Haul Plus Tonnage:
If you have a maximum weight allowance set for some or all of your dumpster rentals and you charge weight overage fees, you’ll want to use this option.
Any time a task is completed and the net weight that’s entered is more than your allowed weight, Docket will automatically calculate the weight overage fee for the invoice you send to the customer.
Please Note: In order for Docket to successfully calculate weight overages, you need to set up your weight allowance and have a weight overage fee set up in either your Pricing Matrix or the Dumpster Settings by Size section, depending on how your pricing models are set up.
Flat Rate:
When this option is selected Docket will not calculate weight overage fees, even if you have an overage fee set up in your Pricing Matrix or the Dumpster Settings by Size section.
Show Missing Weight
This setting is very important if your workflow requires a net weight be included on all tasks marked complete.
By default, this setting is turned on and we highly recommend leaving it on. Docket will automatically log any completed tasks that don’t have a net weight added as a billing issue so you easily find and update those tasks.
Please Note: This setting will only appear if you have Enable Billing Issues setting turned on.
Show Missing Invoice
This setting is very important for managing your billing workflow(s).
By default, this setting is turned on and we highly recommend leaving it on. Docket will automatically log any completed tasks that don’t have a related invoice as a billing issue, making it easy for you to find missing invoices and bill your customers successfully.
Please Note: This setting will only appear if you have Enable Billing Issues setting turned on.
Tax Day Overages
This setting controls whether or not Docket automatically applies the taxes you’ve set up in your account to any day (rental length) overages.
By default, this setting is turned on, but you may want to turn it off depending on how your local taxes are calculated and/or applied to additional fees.
Please Note: This setting will only appear if you have Enable Billing Issues setting turned on.
Tax Weight Overages
This setting controls whether or not Docket automatically applies the taxes you’ve set up in your account to any weight overages.
By default, this setting is turned on, but you may want to turn it off depending on how your local taxes are calculated and/or applied to additional fees.
Please Note: This setting will only appear if you have Enable Billing Issues setting turned on.
Weight Overage Calculation
This setting controls how Docket calculates any weight overages a customer may incur.
By default, this setting will be set to Actual. Depending on your billing practices you may want to change this to Round Up To Nearest Ton, but most businesses leave the default option set.
Please Note: This setting will only appear if you have Enable Billing Issues setting turned on.
Weight Overage Line Item Name
This setting controls what name your weight overages appear under on the invoice that you send to your customer.
By default, this setting is turned off and any weight overage fees will appear on an invoice as “Weight Overage Per Ton”.
If you turn this setting on the weight overage fee will appear on an invoice as whatever you’ve named the Pricing (Billing) Template for weight overages, like “40 Yard - Weight Overage Fee”.
